Information for Presenters
Audio-Visual Equipment
AHEAD will provide
the following AV equipment for all Conference sessions:
- An overhead transparency projector and screen
- A standing lecturn
- A flip chart with markers
- A wired lavaliere microphone with a 20-foot cord
- Panel presentations will have a discussion table
with table microphones
If you require
any further AV support, you must submit the Speaker
Audio- Visual Request Form (Excel file,
80KB). Please contact Lise Fitzpatrick, lise.fitzpatrick@conferon.com,
with any questions regarding this form. Preconference
session presenters must submit additional audio-visual
needs
and/or access service related
requirements to Neal
Fox, neal@ahead.org,
on or by July 15, 2005 so we can be sure to have
appropriate arrangements
made. AHEAD will provide ALL audio-visual support
for Preconference Institutes, provided we are notified
by the above deadline.
Handouts
Unless otherwise informed,
all concurrent session presenters should plan to prepare
50 handouts (40 for Computer Lab sessions) for their
session. Preconference session
presenters will receive via email updated registration
reports directly from the AHEAD office on a weekly basis,
beginning in mid-June. Please pay close attention to
attendance numbers for your Preconference Institute,
in order to be sure you have enough handouts.
All
presenters must bring an additional set of handouts to
give to the session
moderator. There are no free printing services
at
the
Conference.
Kinko’s
is located 4 blocks from the Conference venue (400 W.
Wisconsin
Ave; 414-908-6001).
If you are shipping
any of your presentation materials, make sure they
are shipped to your hotel room and not
the Midwest Airlines Center (they will NOT receive freight).
You must provide the following
alternate formats for handouts. Minimum
requirements:
- One (1) copy of Grade II Braille, Nemeth Code Braille
or Computer Braille
- Two (2) copies in large print (18-point font or larger).
Powerpoint slides should be 24-point font or larger).
- Three
(3) copies on CD’s saved in plain text (.RTF
or .TXT formats)
If you do not have a source for producing Braille, you
may receive help from Davey Hulse of BraillePlus at (800)
264-2345 or email at service@brailleplus.net
Videos in whatever format (VHS, DVD, online, etc.) must
be captioned.
Please NOTE: AHEAD
can provide the hardcopy and alternate format
handouts for ALL
Preconference Institutes. In order to take
advantage of this offer, YOU MUST submit by July 1 the
electronic files of your handouts in a Microsoft application
(i.e.,
Word, PowerPoint, Excel) to Neal Fox, neal@ahead.org via E-mail attachment. Additionally, AHEAD will provide
the necessary audio-visual equipment
for
ALL
Preconference
sessions.
Concurrent session presenters
are invited to request that AHEAD provide ONLY alternate
format handouts (not hard copy). You must submit by
July 1 the electronic files of your handouts
in a Microsoft application (i.e., Word, PowerPoint, Excel)
to Neal Fox, neal@ahead.org via
E-mail attachment if you wish to take advantage of this
offer.
