Program Coordinator for Professional Development (Full Time)

This position can be performed remotely from within the US, or as a hybrid or in-person position in suburban Charlotte, North Carolina (Huntersville).

Responsibilities:

  • Work with the Associate Executive Director for Professional Development to expand the impact of AHEAD’s professional development portfolio by assisting with planning, resourcing, and monitoring effective delivery of weeklong conferences, multi-day training institutes, webinars, online courses, and other professional development offerings of a national, non-profit member organization related to higher education and disability.
  • Skilled written interpersonal communication for coordinating presentation and instruction logistics with presenters and service providers, as well as responding to member inquiries.
  • Maintain and update detailed calendars and databases to facilitate event planning and post-event evaluations.
  • Regularly serve as the AHEAD Host for Zoom webinars (in a speaking role providing welcomes, introductions, etc.) with up to 1,000 attendees.
  • Work in a collaborative manner with others in a diverse environment and at all levels in the organization to prioritize work assignments and provide feedback and input regarding projects and events.

Required Qualifications:

  • Thorough knowledge about and skills with relevant business software systems; i.e., Outlook, Sharepoint, Word, Excel, PowerPoint, and experience with or willingness to learn Cvent, Alchemer, Zoom, Oxford Abstracts, and other software.
  • Proven ability to manage competing priorities effectively and maintain focus on the primary priorities.
  • Exceptional oral, written, and interpersonal skills, analytical and problem-solving skills.
  • Ability to calmly troubleshoot technical issues under time pressure and exhibit adaptability when needed to create solutions responsive to issues outside our control.
  • Ability to work effectively and flexibly in a team environment, while assuming individual responsibility to adjust priorities quickly.
  • Familiarity with online learning and/or learning management systems.

Desirable Qualifications:

  • Ability to travel via airline to various U.S. cities to assist with event administration several times per year for events lasting from 3 to 7 days.
  • Familiarity with ensuring online and printed documents and slide decks are accessible to disabled users.
  • Familiarity with disability culture and personal experience with disabled individuals.
  • Familiarity with marketing/publicity strategies for online and in-person events and programs.
  • Understanding of higher education systems.
  • Enthusiastic and energetic approach to work objectives.

Administrative Assistant Position (Full Time)

Provide a range of administrative support and assistance duties in support of the efficient operation of a national, non-profit, member organization related to higher education and disability. 

This is an in-office position in suburban Charlotte, North Carolina (Huntersville) and is not eligible for hybrid work or telecommuting.

Main job tasks and responsibilities

  • Answer, screen, respond to, and distribute incoming communications in all forms, including phone call, email, mail, and fax
  • Perform general clerical duties, including photocopying, faxing, filing, mailing, document retrieval, etc.
  • Maintain electronic and hard copy filing systems
  • Assist in maintaining CRM membership database
  • Resolve administrative problems and inquiries
  • Prepare and edit documents, including correspondence, reports, memos, emails, etc.
  • Arrange, schedule, and coordinate appointments and small meetings and events
  • Coordinate travel arrangements for staff, Board of Directors, and other personnel
  • Interact with and support internal and remote staff, members, and volunteers at all levels
  • Coordinate publication inventory; pack and fill shipping orders
  • Maintain office supply inventory
  • Coordinate maintenance of office equipment

Education and experience

  • Minimum of three years related experience providing similar support
  • Proficient computer skills and in-depth knowledge the Microsoft Office suite
  • Knowledge of standard office and administrative practices and principles
  • Bachelor’s degree preferred; not required
